Enrolment’s Officer

Reporting to:      Principal

Line Manager:    Executive Assistant to Principal (EA to the Principal)

Mode:                 On-going, full-time position

 

Role Purpose

The Enrolments Officer is responsible for ensuring all aspects of the College enrolment process are managed to an excellent standard, maintaining and enhancing the College’s reputation for positive customer service and community relations.

 

Main Responsibilities:

  • Respond efficiently and professionally too enquiries for new enrolments.

  • Ensure timely and accurate processing and managing of enrolments, including documentation and communication associated with prospective families.

  • Provide a professional and welcoming image of the College, in the Good Samaritan, Benedictine tradition, when dealing with parents and students.

  • Process all enrolment inquiries including data entry and records of inquiries.

  • Provide regular data reports and updates on enrolment applications, wait-lists and student movement to the Principal as required, including statistical analysis on applications, offers, the composition of the student cohort, student occupancy, etc.

  • Manage all aspects of new enrolments and provide enrolment projections and trends to the Principal for reporting to the College Board.

  • Screen all applications for complete documentation and prepare applications for the Principal’s consideration.

  • Arrange enrolment interviews, with assistance from the EA to the Principal.

  • Work with the IT Manager to develop and maintain effective enrolment management systems.

  • Maintain up to date enrolment information (e.g. student profiles, medical records and permission forms).

  • Communicate all student movement details to relevant staff throughout the College.

  • Manage invoicing of fees associated with applications and enrolments.

  • Devise new strategies relating to admissions for improved service delivery and statistical analysis.

  • Maintain a close market watching brief on competitors locally and nationally to inform innovation and continuous improvement practices.

  • Manage all aspects of the enrolment process for overseas students in accordance with relevant Acts and legal requirements, working closely with the Overseas Student Support Officer.

 

School Tours

  • Organise Principal tours and lead personal tours for prospective clients when required.

  • Prepare, coordinate and attend exhibitions, fairs, school expos, regional community events and College promotional events as required by the Principal.

  • Work with the Executive Assistant to the Principal to develop and enhance the visual tour of the College for prospective families.

  • Liaise with the Executive Assistant to the Principal and Head of Boarding in the preparation of admission collateral (e.g. banner, visual representations, brochures etc.) to assist with the school visits, tertiary expos, open days and College programs.

  • Participate in professional development as required or directed by the Principal.

 

Orientation Program

  • Work with the Senior Leadership Team in the organisation and facilitation of open days and orientation days.

  • Attend and assist information nights for current and prospective parents and students.

  • Disseminate information to prospective students and families, including fees, uniform and all other requirements for commencement at the College.
